All security-related activities must comply with the following principles:

  • Continuous Threat & Risk Assessment: Regular threat analyses and risk evaluations must be conducted to identify vulnerabilities and mitigate emerging risks.
  • Integrated Security Practices: Security guidelines and protocols must be seamlessly embedded into everyday business processes and workflows.
  • Prioritizing Incident Prevention: Preventing incidents should remain the top priority across all security initiatives.
  • Preparedness & Response Planning: Comprehensive response and preparedness plans must be established, tested, and maintained to ensure rapid and effective action during security events.
  • Ongoing Audits & Verification: All security measures, procedures, and systems must undergo routine inspections, audits, and validations to uphold the highest standards of security across Bitenxt’s global operations (www.bitenxt.com).
  • Professionalism & Integrity: The competence, integrity, and ethical conduct of all personnel involved in security functions must be strictly monitored and maintained.
  • Training & Screening: Robust training programs, customer vetting practices, recruitment processes, contracting protocols, and termination procedures must be implemented consistently across the organization.
  • Mandatory Reporting: All security incidents, breaches, or irregularities must be documented and reported promptly. Corrective actions must be executed, validated, and continuously monitored to strengthen the overall security framework.

This policy has been reviewed and approved by the Information Security Steering Committee. It will be evaluated annually—and updated where necessary—to ensure continued relevance, effectiveness, and alignment with Bitenxt’s security objectives.








Refund Policy

We are committed to providing high-quality products manufactured with precision and care. As a manufacturing company, our products are custom-made or produced based on specific client requirements. Therefore, refunds are generally not applicable. However, under certain circumstances, we may process refunds as outlined below.  

Eligibility for Refund

Refunds may be considered only under the following exceptional circumstances:

  1. Defective or Incorrect Products – If a product is found to be defective due to a manufacturing error and cannot be repaired or replaced.
  2. Order Cancellation Prior to Production – If an order is cancelled before manufacturing has commenced, a refund may be processed, subject to applicable deductions.
  3. Duplicate or Excess Payments – Any excess payment made due to an error may either be adjusted against future orders or refunded upon verification.

Refund Request Process

To request a refund, customers must follow these steps:

  1. Submit a Refund Request: Send an email to info@bitenxt.com  with the order details, proof of purchase, and reason for the refund request.
  2. Verification & Approval: Our team will review the request and may require additional details or product inspection.
  3. Processing Time: If approved, refunds will be processed within 14 business days from the date of approval. The amount will be credited to the original payment method.

Return & Replacement Policy

Terms and Conditions

Please read carefully

Bitenxt AI Solutions Pvt. Ltd. (“Bitenxt”, “we”, “our”, “us”) provides the following Return, Repair, and Replacement Policy, aligned with applicable quality and security management standards including ISO 9001, ISO 14001, ISO 27001, and other relevant compliance frameworks. These terms govern the process for reporting discrepancies, requesting repairs or replacements, and managing non-conforming products or services.

  1. General Terms
  2. Any discrepancy related to cost, quantity, or delivery must be reported within 7 days from receipt of the invoice or deliverables.
  3. No modifications or amendments to the original invoice will be accepted after the 7-day return or exchange window.
  4. Any request for changes after initiation of the development, configuration, or production process may incur additional charges.
  5. All orders processed with insufficient information, unclear instructions, incorrect inputs, or other risks shared by the customer are executed at the customer’s sole responsibility and are not eligible for warranty.
  6. Once an order is placed, it cannot be cancelled. However, in cases where Bitenxt identifies a valid defect attributable to its process, the work will be repaired or replaced upon return of the original deliverables and relevant documents, within 7 days of receipt.
  7. If Bitenxt notifies the customer about issues in inputs, data, or specifications but is still instructed to proceed, the full cost of rework shall be borne by the customer.
  8. Warranty does not apply to upgrades, enhancements, or feature additions requested after delivery.
    h. By using, deploying, or integrating any Bitenxt deliverable, the customer acknowledges that all instructions, functional requirements, and usage guidance were provided accurately, and responsibility for final implementation lies with the customer.
  9. Fit, performance, integration compatibility, and other functional outcomes depend on the accuracy of the information, files, and specifications provided by the customer.
  10. Any requirement related to formatting, styling, configuration, or output standards must be clearly communicated in the instruction sheet or order form. Bitenxt will make reasonable efforts to meet the requested specifications but does not guarantee results affected by external factors beyond its control.
  11. Urgent or expedited processing may incur additional charges (e.g., 10% extra), depending on the nature and complexity of the work.

 

  1. Non-Conforming Deliverables

Products or services that do not meet specified requirements are identified, documented, and

controlled to prevent unintended use or delivery.

Bitenxt ensures:

  • Detection of non-conformities
  • Segregation or restriction of defective outputs
  • Corrective measures to eliminate identified issues

Records of non-conformities, investigations, corrective actions, and outcomes are maintained as part of our Quality Management System.

  1. Handling of Non-Conformities Before Delivery

Before delivery to the customer, Bitenxt may take any of the following actions:

  1. a) Correct the identified issue
  2. b) Segregate, contain, return, or suspend the affected deliverables
  3. c) Release under concession (only with documented justification and approval)

All corrections are re-verified for compliance before release.

  1. Handling of Non-Conformities After Delivery

If a non-conformity is identified after the product or service has been delivered or deployed, Bitenxt will take appropriate action based on the impact or potential risk.

This may include:

  • Request to return the deliverable
  • Rework or correction
  • Issuing advisory notices where legally required

All such actions are documented and retained for audit and regulatory reference.

  1. Rework Policy

If a deliverable requires rework:

  • A documented rework instruction or workflow is created
  • The rework process undergoes the same review and approval as the original work
  • Any potential adverse impact of rework is assessed and documented
  • After rework, deliverables undergo verification to confirm they meet acceptance criteria

Records of all rework activities are maintained.

  1. Preventive Action

Bitenxt proactively takes measures to prevent potential non-conformities by:

  1. a) Identifying potential issues and root causes
  2. b) Evaluating the need for preventive action
  3. c) Implementing corrective improvements
  4. d) Documenting investigation results
  5. e) Reviewing the effectiveness of actions taken

These activities support continuous improvement and form part of Bitenxt’s ongoing management reviews.

International Orders

Products or services purchased by international customers are not eligible for return, unless otherwise specified in the service agreement or contractual terms.
